If a learner reports any remaining risks during a self-assessment on the E-Learning platform, their concerns are added to the Risk Task List. This list allows administrator users to view, track, and manage reported risks efficiently
You will have a Risk Tasks widget on your E-Learning homepage – this is a real-time indicator of residual risk across your area of responsibility.
Click ‘View’ on the Risk Tasks widget to go to the Risk Task List.
Alternatively, you can access this via the menu in the upper right hand corner.
Select ‘Analytics and Reports’, then ‘Risk Task List’.
You will see a list of open tasks, stemming from concerns that have been raised by users.
At the top of the page, you can toggle between viewing the tasks by Individual or by Concern.
There are also filter options, where you can select the date period (i.e. concerns raised in last…). You can also filter by Assessment, Job Function and Department.
Depending on your level of access, some admins/managers may have more tasks showing than others.
View Risks by Individual
If you click ‘View tasks by: Individual’ this shows a list of tasks first grouped by individual, then by the assessment they were raised by.
You can see a total number of unresolved concerns, as well as a breakdown of each concern by high, medium, or low concern. Click on any of these figures for more information.
This is the default way concerns are displayed.
View by Concern
If you click ‘View Tasks by: Concern’, you can see a list of the specific concerns raised first.
From here you can see the priority of the concern listed, as well as how many users have raised the same concern under the ‘unresolved’ column. Click the number to view more information, or on the title of the concern to see who raised it.
Managing Concerns
If you click on a figure relating to a concern, or on the title of a concern, you will have the option to track and record progress individually or as a batch.
In this specific example, we have a list of the concerns raised by a specific user in their Fire Risk Assessment.
You will see the concerns in the left-hand column, any notes left (either by the user during the assessment or any progress notes added by line managers/admins), the priority of concern and the status.
You can also click ‘full report’ to get a full copy of the assessment and the responses given by this user.
The status of the concern will only change when an action has been taken.
By clicking on a concern, you will be able to:
- View what suggested action you should take based on the concern raised. (These suggested actions can be customised. See section on building and editing E-Learning risk assessments)
- Add Progress Notes (these will be added to the ‘History’ tab).
- Email the user who raised the concern
- Print a record of the concern raised, including it’s associated actions and notes. This also gives you a PDF of the concern record.
- Set the concern as resolved.
If you click the History tab, you can view all historic actions made against this concern.
If you click the File tab, this will allow you to see any pictures or documents uploaded as part of the risk assessment.
